This Policy applies to information we collect from account holders, their Authorized Users, the employees and contractors whose payroll is processed through the Services, and visitors to the Site. By using the Site or the Services, you acknowledge the practices described in this Policy.
Account and Registration Information. When you register for an account, we collect information such as your name, business name, email address, phone number, and billing information.
Payroll and Employment Data. To provide payroll processing and tax filing services, we collect information necessary to run payroll and prepare tax filings, including employee and contractor names, addresses, Social Security or taxpayer identification numbers, wage and salary information, bank account details for direct deposit, tax withholding elections, and benefit deduction information.
Client Data (Firms). If you are a tax professional, accounting firm, or payroll service provider using the Services on behalf of clients, we collect information about each client business, including business identification numbers, and the payroll and employment data described above for each client's employees and contractors.
Usage and Device Information. We automatically collect information about how you access and use the Site and Services, including IP address, browser type, device identifiers, pages viewed, and timestamps of activity.

Communications. If you contact us for support or other purposes, we collect the content of your communications and any information you provide in connection with them.

Service Providers and Affiliates. We share information with service providers who perform functions on our behalf, including payment processing, direct deposit processing, hosting, and customer support. This includes TaxBandits, an affiliated product of SPAN Enterprises LLC that provides underlying e-file infrastructure used to deliver certain filing services.
Firms and Client Accounts. If you are an employee or contractor whose payroll is processed through a Firm's account, your information is shared with that Firm and, where applicable, with the business that employs or engages you, as necessary to process your payroll.
Business Transfers. We may disclose information in connection with a merger, acquisition, financing, or sale of all or a portion of our business.
Legal Requirements. We may disclose information where required by law, subpoena, or other legal process, or where we believe disclosure is necessary to protect our rights or the safety of others.
We do not sell personal information to third parties for their own marketing purposes.
We retain payroll, tax filing, and account information for as long as necessary to provide the Services, comply with applicable tax recordkeeping and legal requirements, resolve disputes, and enforce our agreements. Retention periods for payroll tax records are generally governed by IRS and state recordkeeping requirements, which may require retention for several years after the applicable filing.
We maintain administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, alteration, or disclosure, including encryption of data in transit and at rest, access controls, and multi-factor authentication options. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Account Information. You may review and update certain account information directly within your PayWow account.
Communications. You may opt out of non-essential marketing communications by following the unsubscribe instructions included in those communications. You may continue to receive transactional and account-related communications necessary to the operation of the Services.
State Privacy Rights. Residents of California and certain other states may have additional rights regarding their personal information. If you are a resident of another state with applicable privacy legislation, contact us at the address below to exercise any rights available to you.
If your employer or the business engaging you as a contractor uses PayWow to process payroll, PayWow collects and processes your personal and payroll information on behalf of that business, which acts as the data controller for purposes of applicable privacy law. Requests to access, correct, or delete your information should generally be directed to your employer or engaging business in the first instance; PayWow will support such requests as required by our agreements with that business.
The Services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal information from someone under 18, we will take steps to delete it.
PayWow is based in the United States, and information we collect is processed and stored in the United States. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States, which may have data protection laws different from those of your jurisdiction.
The Services may contain links to third-party websites or integrate with third-party services. This Privacy Policy does not apply to those third parties, and we encourage you to review their privacy practices before providing them with information.
We may update this Privacy Policy from time to time. We will post the updated Policy on the Site with a revised "Last Updated" date. Your continued use of the Services after changes are posted constitutes your acceptance of the updated Policy.
